My sent emails are ending up in customers spam/junk mail

Hi all I wondered can anyone help to supply my answer why my sent emails turn up in clients junk mail? I'm sure this is also a new error as its also effected my sales response!

As rammsteinium so kindly pointed out, most of this problem is on the client's end. Not to mention that different email systems have different capabilities when it comes to dealing with SPAM. Nothing you can do about that end of the problem. 

However, there are some basic things you can do to avoid triggering their SPAM systems.


First, advise clients to add your email address to their contacts, whitelist, and/or whatever mechanism their email software allows for. If you are using a 3rd party "email blaster" or changing the "From" address constantly, many systems will flag that as SPAM.

 

Second, avoid certain terminology and third party sources. SPAM filters are typically looking for certain keywords and flashy phraseology. They are looking for emails with lots of third party links. I'm no expert in these matters but if you're using certain words and/or trying to tie in things from 3rd parties, you are very likely to get flagged as SPAM. 

 

Third, avoid using any of those new email / domain name extensions (like .training or .band or .faith or .engineering or .loan and so on and so forth) since essentially 99.99% of them are in heavy use by SPAMmers. My new CISCO-based alumni email processor, in fact, has been programmed to flip any emails not from a .COM or .NET or .EDU address straight to the SPAM folder for later review. It has cut my daily Inbox flow from 200-250 SPAM a day to maybe two? <yay!>

 

And, unless you have a lot of legitimate email from outside the USA, you can safely block / divert emails from other country domain extensions like .RU or .AR and so on and so forth as well.

Here is a extension list I got the other day and I'm working on adding most of them to another email processor. I have personally seen SPAM go by from about 90% of these extensions already so ... they were a clever idea but as long as certain domain registrars / email registrars keep allowing these morons to register domains and email addresses  there is little we can do about it. Execution / public flogging is sadly still illegal or at least morally repugnant. < eyes rolling >

Here you are the solution of this bothering issue:

 

Please follow these steps:

1) Go to your DNS records

2) Edit Type MX

3) set the "Name" from @ to your "host name" , You need to use same host you use in your code

Those instructions won't do anything but cause a problem that would prevent incoming mail from working.

Mail deliverability is complicated enough that you'd have to provide way more information to get a good answer. I'll give a couple of suggestions.

 

You didn't talk about what mail service you're using. If this is email back and forth with clients you should be on Office 365. It has the best reputation of the services GoDaddy offers, and that directly affects the likelihood your messages will get filtered.

 

If these are mass market emails, they shouldn't be sent from any standard email service. GoDaddy Email Marketing or a similar service use mail servers closely monitored for reputation. It'll also help you stay compliant with the law. People need a way to opt out.

 

Finally, you should figure out if you have an SPF record on your domain, and it makes sense.

I had that issue as well, and who knows for how long I had there. I probably lost hundreds of new clients because of it. 

When I spoke with "godaddy", their solution was to upgrade my email service. Upgrading my email was not going to resolve this issue, so I am clueless why they were recommending me to spend more money. 

 

Later on, I realize that they lack DKIM (which can help solve this), and also, part of my signature had a webpage (my business' webpage), and that can be translated as a spam email.  Changing my signature was probably enough, but since I got mad at Godaddy's customer service (they were slow, every question they will have to ask somebody else), I decided to change email server with DKIM. 

 

So my recommendation? Check your signature - if you have images, or webpages etc, that may trigger a red flag.  But if you are tired of all this, just switch email service provider. Someone that can give you that DKIM set up.

Hello

 

I use GoDaddy for my company hosting. Our Office 365 email gets sent out by a Azure cloud (ip addresses are registed in Austria). One set of servers starting with 40.*.*.* are fine and only have a few black listings

 

The other set of servers 52.101.132.* have a very high proportion of IP black listing.

 

e.g. 52.101.132.104, 27,78,76,68,13,18,76,42,75,29,33,10,23,30,62,20

 

This is not a complete list.

 

The result is that our emails randomly go to spam files - we have suffered late payment of invoices due to this.

 

I have checked our emails through mail-tester and they get 100% score when they go through the 40.*.*.* servers

 

I have used glock apps spam tester to identify these ip addresses

These are not my servers and the service at https://sender.office.com/ is hard to use for multiple IP addresses and the captur is horrendous

 

Please can you monitor your IP addresses and ask for the blacklisted ones to be delisted?
